Welcome to Rolance ("Rolance," "we," "us," or "our"), a platform hosted at rolance.me that enables users to discover, register for, and participate in case competitions, hackathons, and other events (each, an "Event"). These Terms and Conditions ("Terms") govern your access to and use of the Rolance platform, including our website, admin dashboard, and any related services (collectively, the "Platform").

By creating an account, registering for an Event, or otherwise using the Platform, you agree to be bound by these Terms. If you do not agree, please do not use the Platform.

These Terms are written to apply broadly across all current and future Events hosted on Rolance, not just any single competition. Specific Events may have additional rules ("Event Rules") posted on their respective pages; where an Event Rule conflicts with these Terms, the Event Rule governs for that specific Event only, unless it purports to reduce your rights below what applicable law requires.

1. Eligibility and Accounts

1.1 Account Creation

To participate in an Event, you must create an account and provide accurate, current, and complete information, including your name, email address, and (where applicable) your school/university affiliation and phone number.

1.2 Account Responsibility

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us immediately at the support contact listed on our website if you suspect unauthorized use of your account.

1.3 Age Requirements

You must be at least 13 years old (or the minimum age of digital consent in your country) to create an account. If you are under the age of majority in your jurisdiction, you confirm that you have permission from a parent or legal guardian to use the Platform, or that your use is otherwise permitted through an institution (e.g., a school-sponsored competition).

1.4 Team Formation

The Platform allows you to form teams, invite members, and manage team rosters. Each team member must have their own valid Rolance account. Team captains are responsible for ensuring all team members comply with these Terms and any applicable Event Rules.

2. Events, Registration, and Fees

2.1 Event Participation

Rolance hosts a variety of Events, including but not limited to case competitions, hackathons, and other skills-based challenges. Each Event may have its own eligibility criteria, timeline, deliverables, judging criteria, and rules, which will be published on the relevant Event page and form part of these Terms by reference.

2.2 Registration Fees

Some Events require payment of a registration fee. All applicable fees, currencies, and deadlines will be clearly displayed before you complete registration.

2.3 Payment Processing

All payments are processed through secure third-party payment processors, which may include Polar.sh, Stripe, or PayPal (each, a "Payment Processor"). Rolance does not collect, store, or have access to your raw credit card, debit card, or full banking details. Your payment information is handled directly by the relevant Payment Processor in accordance with its own terms and privacy policy, which we encourage you to review.

2.4 Refund Policy

Unless otherwise stated on a specific Event's registration page:

• Registration fees are fully refundable if a cancellation request is made before the official start date/time of the Event.
• Registration fees are non-refundable once the Event has started, including in cases of voluntary withdrawal, failure to submit, disqualification for a violation of these Terms, or failure to meet eligibility requirements that were disclosed prior to registration.
• If Rolance cancels an Event entirely, we will provide a full refund of registration fees paid for that Event, unless a partial refund is otherwise stated at the time of cancellation.
• Refunds, where applicable, will be issued to the original payment method via the relevant Payment Processor and may take several business days to appear depending on your bank or card issuer.

2.5 Pricing Changes

We reserve the right to change registration fees for future Events or Event cycles. Changes will not affect any registration you have already completed and paid for.

3. Submissions and Intellectual Property

3.1 Ownership of Submissions

As between you and Rolance, you and/or your team retain full ownership of the intellectual property rights in any files, documents, presentations, code, designs, or other materials you upload to the Platform as part of an Event submission ("Submissions").

3.2 License Granted to Rolance

By uploading a Submission, you grant Rolance a non-exclusive, worldwide, royalty-free, sublicensable license to host, store, reproduce, display, and distribute your Submission for the following purposes:

• Operating and administering the Event (e.g., enabling judges, reviewers, and event staff to access and evaluate your Submission);
• Promotional and marketing purposes, such as showcasing winning or notable Submissions on our website, social media, newsletters, or in materials for future Events (with credit to you or your team, where reasonably practicable);
• Archival and record-keeping purposes related to the Event.

This license does not transfer ownership of your Submission to Rolance, and you may request removal of your Submission from promotional use at any time by contacting us, though we may retain administrative copies as required for record-keeping, legal, or dispute-resolution purposes.

3.3 Your Warranties

By submitting content, you represent and warrant that:

• You own or have all necessary rights, licenses, and permissions to submit the content and grant the license described above;
• Your Submission does not infringe upon the intellectual property, privacy, or other rights of any third party;
• Your Submission does not contain any unlawful, defamatory, or malicious content (including malware).

3.4 Sponsor and Third-Party IP Rights

Certain Events (e.g., sponsored case competitions or hackathons) may involve additional intellectual property terms set by a sponsoring organization, which will be disclosed in the specific Event Rules. It is your responsibility to review and agree to those terms before participating in such Events.

4. User Conduct and Academic Integrity

We are committed to maintaining fair, honest, and merit-based competitions. By participating in any Event, you agree to the following standards of conduct:

4.1 Prohibited Conduct

You must not:

• Plagiarize, or submit work that is not substantially your own or your team's original creation, without proper attribution;
• Cheat, collude with unauthorized parties, or use unauthorized outside assistance in violation of specific Event Rules;
• Sabotage, tamper with, or interfere with another team's Submission, account, or participation in an Event;
• Misrepresent your identity, affiliation, qualifications, or eligibility;
• Attempt to gain unauthorized access to the Platform, other users' accounts, judging materials, or administrative systems;
• Use the Platform to upload malicious code, viruses, or any content intended to disrupt the Platform or harm other users;
• Harass, threaten, or discriminate against other participants, judges, mentors, or staff;
• Violate any applicable law or third-party rights in the course of using the Platform or participating in an Event.

4.2 Investigation and Enforcement

Rolance and/or Event organizers reserve the right to investigate any suspected violation of this Section 4. If we determine, in our reasonable judgment, that a violation has occurred, we may take any of the following actions, at our sole discretion and without a refund of any registration fees paid:

• Immediate disqualification of the individual or team from the Event;
• Removal or rejection of the offending Submission;
• Suspension or permanent termination of the user's Rolance account;
• Barring the user from registering for future Rolance Events;
• Reporting the conduct to the user's academic institution or employer, where relevant and appropriate.

4.3 Appeals

Users who believe they have been disqualified or penalized in error may submit an appeal through the contact channel designated on the Platform or Event page. Decisions on appeals are made at Rolance's sole discretion and are final.

5. Platform Availability and Technical Issues

5.1 No Guarantee of Uninterrupted Access

We strive to keep the Platform available and functioning properly, but we do not guarantee that it will be uninterrupted, error-free, or free of viruses or other harmful components at all times.

5.2 Limitation on Technical Failures

Rolance is not liable for any loss, damage, disqualification, or missed deadline resulting from:

• Internet outages, network failures, or connectivity issues on your end;
• Technical glitches, server downtime, or bugs on the Platform, to the extent not caused by our gross negligence;
• Files that are lost, corrupted, or fail to upload, including near or at a submission deadline;
• Delays or failures caused by third-party services (including Payment Processors or cloud infrastructure providers).

5.3 Your Responsibility

You are responsible for submitting your work with sufficient time before a deadline to account for potential technical issues. We strongly recommend submitting well in advance of stated deadlines and retaining personal backup copies of your Submissions.

6. Limitation of Liability

To the fullest extent permitted by applicable law:

6.1 No Indirect Damages

Rolance, its founders, employees, contractors, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or opportunity, arising out of or related to your use of the Platform or participation in any Event.

6.2 Cap on Direct Damages

To the extent Rolance is found liable for any direct damages, our total aggregate liability to you will not exceed the total amount of registration fees you paid to Rolance in the twelve (12) months preceding the event giving rise to the claim.

6.3 "As Is" Basis

The Platform and all Events are provided on an "as is" and "as available" basis, without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

6.4 Jurisdictional Exceptions

Some jurisdictions do not allow the exclusion or limitation of certain damages or warranties. In such jurisdictions, our liability will be limited to the greatest extent permitted by law.

7. Right to Modify Events and Terms

7.1 Changes to Events

We reserve the right to modify an Event's rules, judging criteria, schedule, prizes, or format — including postponing or rescheduling event dates — where we determine it is reasonably necessary (e.g., due to unforeseen circumstances, sponsor changes, low registration, or technical issues). We will make reasonable efforts to notify registered participants of material changes in a timely manner.

7.2 Changes to These Terms

We may revise these Terms from time to time to reflect new features, additional Event types, legal requirements, or operational changes. When we make material changes, we will update the "Last Updated" date above and, where appropriate, notify users via email or a Platform notice. Your continued use of the Platform after changes take effect constitutes acceptance of the revised Terms.

7.3 Discontinuation

We reserve the right to discontinue the Platform, or any specific Event, at any time, subject to the refund provisions in Section 2.4.

8. Termination

We may suspend or terminate your account at any time for violation of these Terms, suspected fraudulent activity, or at our discretion where reasonably necessary to protect the integrity of the Platform or other users. You may also close your account at any time by contacting us (see our Privacy Policy for details on account deletion).

9. Third-Party Services

The Platform relies on third-party service providers, including but not limited to:

• Payment Processors (e.g., Polar.sh, Stripe, PayPal) for handling payments;
• Cloud Infrastructure Providers (e.g., Supabase, AWS, Vercel) for hosting data and files.

Your use of these third-party services, where applicable, may also be subject to their own terms of service. Rolance is not responsible for the acts, omissions, or performance of these independent third parties, though we take reasonable care in selecting reputable providers.

10. Governing Law and Disputes

These Terms are governed by the laws applicable in the jurisdiction in which Rolance operates, without regard to conflict-of-law principles, except where mandatory local consumer protection laws require otherwise. Any disputes arising from these Terms or your use of the Platform will first be attempted to be resolved informally by contacting us directly.

11. Miscellaneous

• Severability: If any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect.
• Entire Agreement: These Terms, together with any applicable Event Rules and our Privacy Policy, constitute the entire agreement between you and Rolance regarding the Platform.
• No Waiver: Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights.
• Assignment: You may not assign or transfer these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, or sale of assets.
